Overview

ProxyClaw (“we”, “us”, “our”) provides AI-powered assistant services to business professionals. This privacy policy explains how we collect, use, and protect information when you use our services, including our Chief of Staff Agent product.

Information We Access

When you authorize ProxyClaw to connect to your accounts, we access the following data:

Google Workspace Data

  • Google Calendar: We read your calendar events (event titles, times, attendees, locations) to provide daily briefings and scheduling assistance. We access this data in read-only mode.
  • Gmail: We read your email messages (sender, subject, body, timestamps) to provide inbox triage, priority surfacing, and follow-up reminders. We access this data in read-only mode.

We do not modify, delete, or send emails or calendar events on your behalf unless you explicitly request and authorize that capability.

Communication Platform Data

  • Slack: We receive and respond to messages you send to our bot in your Slack workspace. We do not access messages in channels where the bot is not present.

Practice Management Data

  • If you connect a practice management tool, we read client records, appointment data, and case notes to provide scheduling assistance and client-related queries. Access is read-only unless otherwise specified in your service agreement.

How We Use Your Data

We use your data solely to deliver the services described in your service agreement:

  • Generating daily morning briefings
  • Triaging and prioritizing your inbox
  • Providing follow-up reminders for unanswered communications
  • Answering on-demand questions about your schedule, email, and clients

We do not use your data for advertising, marketing, or any purpose unrelated to delivering your subscribed services.

Data Processing

Your data is processed by AI language models to generate summaries, classifications, and responses. The AI model providers we use (such as Anthropic, OpenAI, Google, and others) process data according to their respective API terms of service, which prohibit using API inputs for model training.

Data Storage

  • Authentication tokens (OAuth tokens for Google, Slack) are stored encrypted on dedicated virtual machines managed by ProxyClaw.
  • Conversation history between you and the agent is stored on your dedicated virtual machine.
  • We do not store copies of your emails, calendar events, or client records. This data is fetched in real-time when needed and is not persisted beyond the immediate processing context.
  • Each client’s data is isolated on a separate virtual machine. No data is shared between clients.

Data Retention

  • Agent conversation history is retained for the duration of your service agreement.
  • Upon termination of service, all data on your dedicated virtual machine is deleted within 30 days, or exported to you upon request.
  • OAuth tokens are revoked upon service termination.

Data Sharing

We do not sell, rent, or share your data with third parties except:

  • AI model providers: Your data is sent to AI model APIs for processing (summarization, classification, response generation). These providers are contractually prohibited from using API data for training.
  • Infrastructure providers: Your dedicated virtual machine is hosted on cloud infrastructure (currently Hetzner). The infrastructure provider does not have access to your application data.

We do not share your data with advertisers, data brokers, or any unrelated third parties.

Security

We implement the following security measures:

  • Dedicated, isolated virtual machines per client
  • Encrypted storage for authentication credentials
  • Firewall-restricted network access
  • SSH key-based authentication only
  • Automated security updates
  • Access restricted to authorized ProxyClaw personnel

Your Rights

You may at any time:

  • Revoke access: Remove ProxyClaw’s access to your Google account at myaccount.google.com/permissions
  • Request data export: Ask us to export all data stored on your virtual machine
  • Request deletion: Ask us to delete all your data and terminate services
  • Review access: Ask us to provide a summary of what data we access and how it is used

Google API Services User Data Policy

ProxyClaw’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

  • We only use Google user data for the purposes described in this privacy policy
  • We do not transfer Google user data to third parties except as necessary to provide our services
  • We do not use Google user data for advertising
  • We do not allow humans to read your Google data unless required for security purposes, required by law, or with your explicit consent

Changes to This Policy

We may update this privacy policy from time to time. We will notify you of any material changes via email or through our service.
